Key purpose of the Job
A group office administrative assistant offers administrative and operational support to members overseeing a large business. Responsibilities include managing appointments, overseeing finances, handling personal assets, and coordinating travel arrangements. They ensure the smooth running of personal and business affairs, assist in estate planning, manage philanthropic activities, and contribute to commercial ventures. The role requires discretion, trustworthiness, and understanding of financial matters.
Key Responsibilities:
• To support the group office operations by providing administrative assistance to multiple members.
• Manage real estate properties, including handling finance and legal matters for each, while overseeing maintenance across multiple locations.
• Collaborate with banks, financial institutions, accountants, tax consultants, and company secretaries to prepare and submit timely tax documentation for individuals and companies.
• Organize business and private travel, including visa arrangements, flights, and accommodation as required.
• Assist in regular personal and office payments, prepare and distribute bank instructions, authorize online payments, and manage petty cash.
• Efficiently manage multiple-member calendars, coordinating meetings and calls across various time zones and adapting to evolving schedules.
• Conduct research and manage ad-hoc projects as needed by the members.
• Maintain strict confidentiality at all times.
